Welcome to Petal Perfection Rentals. These Terms of Service outline the conditions that apply to your use of our courses, digital materials, and rental services. By purchasing or renting from us, you agree to the terms below. Please read them carefully before completing your transaction.

Rental Terms & Conditions

By renting from Petal Perfection Rentals, you agree to the following terms:

Payments

We offer two payment options:
• Full payment upfront
• Shop Pay (4 equal installments)

A 25% non-refundable retainer is required for all rental bookings and is applied toward your total event balance.

Balance Due

If on a payment plan, your remaining balance must be paid no later than 30 days before your event.
If payment is not received by this time, Petal Perfection Rentals reserves the right to cancel your order.
If we approve continuation after a missed deadline, a 10% late fee will apply, plus 10% for each additional 7 days until paid in full.

Any additional costs resulting from delayed payment will be charged to the client.

Additions & Substitutions

Additions made less than 30 days prior to the event must be paid within 24 hours.
Availability cannot be guaranteed, but we will match colors and styles as closely as possible.

Petal Perfection Rentals reserves the right to make substitutions if the flowers or décor received are not up to quality standards. Substitutions will always maintain the proposed design integrity using flowers of equivalent or greater value.

If dyed flowers are used, Petal Perfection Rentals will notify you and is not responsible for potential garment staining.

Terms

At the time of the initial retainer, adjustments can still be made to the invoice. Large additions and subtractions may be made until the balance is paid in full.

There is a guaranteed minimum payment of 85% of the original proposal.

Any liability on the part of Petal Perfection Rentals is limited to a refund of monies paid, minus the non-refundable retainer.

Due to fluctuating market prices, fresh-flower rentals may incur price adjustments. Clients will be notified immediately and billed for the difference.

Delivery & Setup

• Base location: Waco, Texas
• Service area: Waco, Temple, Killeen, College Station, and surrounding Central Texas areas
• Standard delivery radius: 25 miles from Waco
• Additional mileage: Typically $1 per mile, quoted based on setup complexity
• Pickup time: No later than 9:00 PM

Late-night pickup fees:
9:30 PM – $50 | 10:00 PM – $100 | 10:30 PM – $150 | 11:00 PM – $200 | 11:30 PM – $250 | 12:00 AM – $300

All setups, takedowns, and transportation are handled by Petal Perfection Rentals.

For insurance reasons, clients or third parties may not move, transport, or disassemble any items without written approval.

Product Handling

No rentals may be left outdoors overnight or exposed to rain, humidity, or severe weather.
If inclement weather is expected, Petal Perfection Rentals reserves the right to retrieve items early.

Damage beyond normal wear will incur a charge equal to 2x the rental price.
Items not returned within the rental period will be charged 4x the rental cost, after which ownership transfers to the client.

Credit card details are securely stored and deleted upon return of all items.

Venue & Décor Limitations

All décor and floral setups must be coordinated with Petal Perfection Rentals to ensure consistency and quality.
We are not responsible for venue restrictions or limitations that prevent setup or display if those were not communicated in advance.

Negotiating with venue officials for exceptions (such as hanging installations or open-flame décor) is the client’s responsibility.
Refunds will not be issued for unused items due to undisclosed venue limitations.

Cancellations

A 90-day cancellation notice is required for any partial refund.

In case of emergencies (natural disaster, illness, or unexpected event), your retainer can be transferred to a new date at no charge.

Retainers are non-refundable and exclude:
• Payment processing fees
• Consultation and communication time
• Design and proposal preparation time
• Banking fees and refund costs
• Online reservation or platform fees

Petal Perfection Rentals reserves the right to cancel a contract if obligations cannot be reasonably fulfilled. In such cases, credits will be issued minus any costs already incurred.

Dispute Resolution

Any disputes arising from this agreement shall be settled by binding arbitration administered by the American Arbitration Association under its Commercial Arbitration Rules.
The arbitration hearing will take place in McLennan County, Texas, before a single arbitrator.
Judgment on the award may be entered in any court with proper jurisdiction.
